These Terms & Conditions (“Terms”) govern your use of the VANVAAT website, your enquiries and reservations, and your stay or participation in services and experiences offered by VANVAAT and its properties.
By using our website, making a reservation, or purchasing or participating in any VANVAAT service, you agree to these Terms.
1. ABOUT VANVAAT
VANVAAT is a hospitality brand operating and developing retreats in distinctive natural and rural environments.
Individual VANVAAT properties may be owned, operated or managed by different legal entities or operating partners. The entity responsible for your particular reservation or service may therefore vary by property and will be identified during the booking process where applicable.
2. RESERVATIONS
Reservations are subject to availability and confirmation.
When making a reservation, you agree to provide accurate and complete information.
A reservation is considered confirmed only when you receive a confirmation from VANVAAT or the relevant property or booking partner.
The booking confirmation, including the applicable rate, dates, number of guests, inclusions and specific booking conditions, forms part of these Terms.
3. RATES AND PAYMENT
All rates are subject to change until a reservation is confirmed.
Unless otherwise stated, rates may not include taxes, government charges, transportation, activities, meals or other additional services.
The total amount payable, applicable taxes and payment schedule will be communicated during the booking process.
Certain reservations may require:
Full payment in advance
A deposit
A credit or debit card guarantee
Payment upon arrival
A security deposit
Additional charges incurred during your stay may be payable before departure.
4. CANCELLATION AND CHANGES
Cancellation and modification policies may vary by property, rate, season, package and booking type.
The specific cancellation terms applicable to your reservation will be provided at the time of booking and will form part of your booking agreement.
Where permitted, cancellation charges may apply.
Special rates, promotional rates, group bookings, wedding bookings, corporate events and exclusive-property bookings may have separate cancellation conditions.
5. CHECK-IN AND CHECK-OUT
Standard check-in and check-out times will be provided with your booking confirmation.
Early check-in and late check-out are subject to availability and may incur additional charges.
Guests may be required to provide valid identification and payment or security information at check-in.
6. GUESTS AND OCCUPANCY
Only the number of guests stated in the reservation may stay at the property unless prior approval is obtained.
Guests are responsible for ensuring that all members of their party comply with these Terms and with the rules of the relevant VANVAAT property.
Children are welcome at selected VANVAAT properties, subject to the property's age policies, room configuration and safety requirements.
Some properties, rooms or experiences may have age restrictions.
7. REMOTE LOCATIONS
VANVAAT properties are deliberately located in rural, natural and sometimes remote environments.
Access may involve mountain roads, unpaved roads, forest tracks, boats, walking routes or other forms of travel that differ from conventional hotel access.
Travel times may vary because of weather, road conditions, seasonal conditions or local circumstances.
Guests are responsible for following arrival instructions provided by VANVAAT.
The journey is part of the VANVAAT experience.
8. NATURE AND WILDERNESS
VANVAAT properties are located in natural environments.
Guests may encounter insects, wildlife, uneven terrain, changing weather, water bodies, agricultural areas, livestock or other natural conditions.
Nature cannot be completely controlled or predicted.
Guests must follow property safety instructions and respect wildlife, the landscape and local environmental requirements.
VANVAAT does not guarantee the presence or visibility of any particular animal, bird, weather condition, landscape feature or natural phenomenon.
9. ACTIVITIES AND EXPERIENCES
Activities may include, depending on the property:
Hiking and nature walks
Cycling
Horse riding
Swimming
Farming and agricultural activities
Cooking and food experiences
Outdoor sports
Wellness activities
Water-based activities
Wildlife and nature experiences
Certain activities may carry inherent risks and may require advance booking, age restrictions, appropriate clothing or equipment, medical clearance, a waiver or additional charges.
Guests participate in activities at their own discretion and must follow all safety instructions.
VANVAAT may suspend, modify or cancel an activity where weather, safety, environmental or operational conditions make it unsuitable.
10. FOOD AND BEVERAGE
VANVAAT properties may offer food and beverages sourced from local farms, suppliers, gardens or other producers.
Menus may change according to season, availability and location.
Guests must inform VANVAAT of allergies, dietary restrictions and special requirements at the time of booking or as early as possible.
While reasonable care will be taken, VANVAAT cannot guarantee an environment completely free from allergens.
11. RESPONSIBLE USE OF THE PROPERTY
Guests are expected to treat the property, its surroundings, staff, local communities and other guests with respect.
Guests must not:
Damage property or natural surroundings
Disturb wildlife
Remove plants, animals, artefacts or property belonging to VANVAAT or others
Engage in unlawful or dangerous conduct
Create unreasonable disturbance
Violate applicable fire, environmental or safety regulations
Use the property for unauthorised commercial purposes
VANVAAT may require a guest to leave the property without refund where their conduct creates a safety risk, causes significant disturbance or materially violates these Terms.
12. DAMAGE TO PROPERTY
Guests are responsible for damage, loss or excessive cleaning caused by themselves or members of their party beyond reasonable wear and tear.
VANVAAT may charge the guest for reasonable repair, replacement or restoration costs.
13. VALUABLES AND PERSONAL BELONGINGS
Guests are responsible for their personal belongings.
Where available, guests should use the property's designated safes or secure storage facilities.
VANVAAT is not responsible for loss, theft or damage to personal belongings except to the extent required by applicable law.
14. CELEBRATIONS AND EVENTS
Weddings, family celebrations, corporate events and other gatherings may be subject to separate event agreements and payment schedules.
Event bookings may require:
Advance deposits
Minimum guest numbers
Minimum stay requirements
Exclusive-property bookings
Event-specific cancellation terms
Approved vendors or suppliers
Additional security or damage deposits
The specific event agreement will prevail where its terms differ from these general Terms.
15. PHOTOGRAPHY AND COMMERCIAL USE
Professional photography, filming, commercial production, advertising shoots or other commercial use of a VANVAAT property require prior written approval.
Guests may take personal photographs and videos for private use, subject to respecting the privacy of other guests, staff and local communities.
16. INTELLECTUAL PROPERTY
The VANVAAT name, trademarks, logos, website content, photographs, designs, text and other materials are owned by or licensed to VANVAAT and may not be copied, reproduced, modified or commercially used without prior written permission.
17. WEBSITE INFORMATION
We make reasonable efforts to ensure that information on our website is accurate and current.
However, photographs, descriptions, menus, activities, facilities, landscapes and other information may change from time to time.
Natural environments are inherently variable, and photographs cannot guarantee that a particular view, landscape condition or seasonal feature will appear exactly as shown.
18. THIRD-PARTY SERVICES
VANVAAT may work with independent third parties for transportation, activities, events, guides, restaurants, wellness services and other services.
Where a service is provided by an independent third party, additional terms may apply.
VANVAAT will take reasonable care in selecting and working with service providers but may not be responsible for the acts or omissions of independent third parties except where required by applicable law.
19. FORCE MAJEURE
VANVAAT will not be responsible for failure or delay in providing services where caused by circumstances beyond reasonable control.
These may include, among other things:
Severe weather
Natural disasters
Floods, fires or landslides
Road closures
Government restrictions
Epidemics or pandemics
Civil unrest
Strikes
Power or infrastructure failures
Other events beyond reasonable control
Where such circumstances occur, VANVAAT will make reasonable efforts to assist guests and provide appropriate alternatives where possible.
20. LIABILITY
Nothing in these Terms excludes or limits any liability that cannot legally be excluded or limited under applicable law.
Subject to applicable law, VANVAAT will not be responsible for indirect or consequential loss arising from a guest's use of the property or services.
Guests remain responsible for taking reasonable care of themselves, their companions and their belongings.
21. PRIVACY
Personal information collected through bookings, enquiries and use of our website is handled in accordance with the VANVAAT Privacy Policy.
22. CHANGES TO THESE TERMS
VANVAAT may update these Terms from time to time.
The version applicable to a reservation will generally be the version in effect when the reservation is confirmed, unless a later change is required by law or expressly communicated to the guest.
23. GOVERNING LAW
These Terms are intended to comply with applicable local laws.
The specific legal entity operating a VANVAAT property, the location of that property and the nature of the service may determine the applicable law and jurisdiction.
Where a separate booking or event agreement specifies governing law or jurisdiction, that agreement will apply.
